AdministriviaNo organization would be complete without its share of bureaucratic chores. Here we give a step-by-step set of instructions for a variety of details which you may otherwise forget.
Getting Reimbursed To get reimbursed for a CSGSA expense, you have to fill out a reimbursement form. Extra forms can get obtained at the Student Government Accounting Office (SGAO) which is on the lower level of the SUB. Here's a template form from movie night. Once you've filled it out, you need to get two members of the CSGSA Signature Group (see the Signature Form below) to sign off. If the request is for less than $100, you may get petty cash from the SGAO; otherwise, they'll send you a check (if you have direct deposit, they should be able to do that with this money). Note that SGAO will not reimburse for sales tax (although they will for tips). Wal-Mart, and Papa Johns Pizza both will exempt purchases from sales tax so long as you can convince them that you're buying whatever for UNM. You may want to talk to a more experienced hand about how to do that before you make your purchase. Transferring Power, Re-chartering CSGSA and Getting PB Funds Each year, a new group of officers is elected. At the beginning of the Fall semester, the CSGSA has to re-charter itself with the UNM Graduate & Professional Student Association (GPSA). To do this, you must attend a chartering meeting (some are offered over the summer, but generally, they occur in the first month of the Fall semester). There, you get the form necessary to charter CSGSA. The officers must sign the form, and you must turn in the Signature Form (see below) for who can authorize reimbursements. Once you've turned-in these forms, only then can you go to the GPSA website and request the PB funds the CSGSA is due each semester. Signature Form The Signature Form is how the SGAO knows who can authorize reimbursements. It's useful to have about 6-7 people on this form, since then a needy person can usually find two people to sign the form. It's also useful to put a faculty member on the form (Lance Williams and Patrick Bridges have both done this in the past). If you need to add or remove names from the list, you can get a new form from the SGAO. The ACM Lounge Water Filter The water filter in the 3rd floor lounge is an Enviro Products Premium 10-Stage water filter. It was installed on March 31, 2003, and it is the CSGSA's responsibility to ensure that the filter is changed on a regular basis. Filters are good for 1500 gallons of water (1 year of average use for a family of 4), and can be purchased at La Montanita Co-op. They cost about $55 each. |
